How Carano got 70 employees AI-ready in just a few weeks
70 employees — from engineering to customer success — needed to learn how to use AI productively in their day-to-day work: cross-departmentally, hands-on, and GDPR-compliant. Here's how we did it.
Carano Software Solutions has been a market leader in fleet management software since 1992, with offices in Berlin and Wrocław. In 2024, leadership asked a concrete question: how do you make a 70-person team — from engineering to customer success — AI-capable? Not in theory, but in their daily work. Not in isolated departments, but across the whole company. And not in years, but in weeks.
We translated this into three interlocking phases: training, guided evaluation, and a strategy for long-term use.
1. Cross-departmental AI training for 70 employees
We trained in small groups — engineering, customer success, executive management, side by side. No theoretical lectures, but hands-on workshops with concrete examples from fleet management day-to-day:
AI, machine learning, and generative AI fundamentals
Prompt engineering for day-to-day work
Data protection and compliance in AI use
Role-specific use cases: code documentation, test automation, customer communication, internal knowledge work
140+ training slides as a lasting internal reference
Result: All 70 employees could put AI tools to productive use starting the first week after training. No “AI silo” in a single department, but cross-departmental adoption and shared vocabulary.
2. Guided evaluation: from classroom to daily work
After training, a multi-month evaluation process followed. Employees tested ChatGPT, Claude Code, and other tools in selected projects — not on their own, but with regular check-ins with us. Early productivity gains showed up in code documentation, test automation, and internal knowledge work.
Out of this evaluation phase emerged, among other things, a customer chatbot built on Leezy.ai — our own chatbot product — that today delivers qualified answers 24/7 in 50+ languages. A concrete example of what can grow out of successful enablement work.
3. Data protection strategy for long-term AI use
Data protection was a top priority from day one, not an afterthought. Together, we evaluated where cloud AI makes sense — and where local or EU-hosted models are a better fit. The result: an AI strategy compatible with GDPR, the new EU AI Act, and Carano's own data protection requirements — without dependence on U.S. providers.
